Order Portal Overview
Understand how customers place orders using their unique order link — no login required.
What is the Order Portal?
The Order Portal is the browser-based ordering experience your customers use to place orders. Customers open their link and start ordering immediately — no account or login required.
Two types of order links exist:

| Customer link | A specific customer — applies their price group and personalised settings |
Both links open the same portal interface, but a customer link unlocks personalised pricing, a Past Orders tab, and customer-specific checkout settings.
How buyers access the portal
- You send the order link via email, WhatsApp, or any messaging channel.
- The buyer opens the link in any browser — no download, account, or login required.
- A short welcome screen appears confirming who the portal is for. One click to proceed.
- They browse products, enter quantities, and submit the order.
- You receive the order in your dashboard as a draft ready for review.

What buyers see
Every order portal displays your business name, logo, and contact information from your Business Profile. Buyers cannot see other customers' pricing or order history.

Use the workspace link for walk-in buyers or trade events where customer-specific pricing does not apply. Use customer links whenever you want personalised pricing and order history to apply.
New buyers who order via the workspace link are saved as Pending Customers — not added to your Customers list directly. An admin reviews and maps them. See Pending Customers.
When the portal is unavailable
A customer link can become inaccessible in two distinct situations:

| Order Web Blocked is on | Ordering is temporarily unavailable | Turn off Order Web Blocked in customer detail → General tab |
The two states are independent. Inactive is the master lifecycle status and is Xero-managed when Contacts sync is active. Order Web Blocked is always a local control — you can pause a specific customer's ordering without affecting their Xero status.
The workspace link is not affected by either setting.
